Main Responsibilities in Tadweer:
1. Receive and log requests from CEO office and external stakeholders, assign requests to concerned Sustainability specialists and analysts, track tasks progress, expedite deliverables and obtain necessary internal approvals, and coordinate with stakeholders to ensure successful completion of the assigned tasks, all in line with IMS and ISO standards.
2. Ensure proper data storage and management in line with IMS and ISO standards.
3. Manage the finalization and documentation of policies and procedures in line with the company’s workflows, delegation of authority.
4. Support IMS Team in preparing process flows using Microsoft Visio and in reviewing support functions procedures.
5. Assist IMS team in communicating and following up with internal stakeholders on policies and procedures updates.
6. Support IMS team in preparing meetings agendas and audit plans and ensuring appropriate implementation.
7. Support Sustainability and ESG Team in data collection from stakeholders as needed for further refinement, analysis, and utilization.
8. Track comments and feedback from Tadweer & EAD with respect to Abu Dhabi Executive Waste Management master plan.
9. Support SPPD Director and team with daily tasks.
10. Responsible for handling SPPD Mail inbox with efficiency & timely manner.
11. Assign tasks, follow up with each team member based on director instruction & advise.
12. Monitor CTS system mails for SPPD director & ensure proper follow up.
13. Responsible for Handling SPPD Inbox in Tadweer Hala system (Tadweer Info).
14. Responsible for Saeed Portal by requesting (maintenance, furniture, Car booking, Meeting room reservation, etc.) and following up with general services department.
15. Draft & Circulate emails to internal & external stakeholders on behalf of the SPPD.
16. Report weekly on all Carveouts projects progress to the PMO Team.
17. Provide administrative support regarding Tadweer MOUs in coordination with the relevant Departments/ Teams.
18. Create, prepare & publish surveys based on business needs & SPPD director instructions.
19. Arrange both internal and external meetings and workshops.
20. Provide the finance department with budget forecast reports of the SPPD by identifying the current and future projects in collaboration with SPPD director & section heads according to business needs.
21. Receive and coordinate SPPD contractors invoices from project managers and verify, validate, and transfer them to the Finance Department and follow up on payment release.
22. Submit timely reports and prepare presentations/proposals as assigned by SPPD Director.
23. Assist colleagues & section heads whenever necessary.
24. Coordinate SPPD activities and operations and ensure compliance to company policies and efficient operations.
25. Plan meetings and record minutes.
26. Answer phone calls and connect callers to appropriate people.
27. Monitor active projects and report projects execution status.
28. Any other tasks assign by the director.
