Managing Operations for 4 UAE Assets for Nomac -
Managing a total of 308 Employees in 4 assets
Single point of contact for managing all the system related actions for UAE assets.
Onboarding & Employee Lifecycle Management
- Oversee the end-to-end Onboarding Process for New Joiners,
ensuring all documentation is completed in a timely manner.
- Prepare and issue Internal Employment Contracts in compliance with
company policies and labor regulations.
- Maintain and update employee records in the HR System.
- Follow up with Probation Confirmations and Contract renewals.
HR Administration & Compliance
- Draft and issue HR related letters, including Salary Certificates, Salary
Transfer Letters, NOC's, Experience Letters and other required Official
letters.
- Maintaining of Annual Air Ticket data and issuing based on eligibility.
- Address employee inquiries related to payroll, leaves and benefits.
- Provide administrative support in HR Audits and internal Compliance
checks.
- Ensure compliance with local laws and company policies in all HR
processes.
Recruitment & Job Requisition Management
- Raising of Job Requisition for vacant positions
- Follow up with Recruitment team for the vacant position.
- Based on the selection of candidate -
New Offer follow up with Recruitment team
Promotion for internal employees will be collaborated with Rewards
for the numbers based on the company policy.
Visa & Work Permit Management
- Manage PRO's for Visa application Process including work permits,
residency visas.
Payroll & Benefits Support
- Collaborate with the payroll team by providing necessary employee
data for accurate salary processing.
- Assisting in Managing the enrollment and cancellation of Medical
Health Insurance.
- Sharing of data for Renewal of Medical Insurance, Life Insurance etc.
Offboarding & Exit Management
- Manage the offboarding process - share the details of Addition /
deductions to payroll for Final Settlement draft.
- Ensure smooth clearance processes for departing employees.
- Maintain Exit records and provide necessary documentation.
- Transfer cases will be dealt as per company policy.
(In 2021 we had nearly more than 80 expat employees transferred from KSA to UAE due to Saudization)
* Managing and creating the position data and code with support of OD Dept.
- Prepare Offer Letters / Salary Letters / Employment Certificates /
Consulate and Comfort Letters for employees. Support the HR
Director with the HR Functions.
- Screening of Candidates - Collect the relevant documents and upload
it online to Screening company. Regularly check the status of the
screening report prior applying for visa.
- Co-ordinate with the employees and PRO for documents related to
Visas (DIFC).
- New Hire& Old employee Administration - Handling of all employee
files, Updating and maintaining the end date of employees. Coding the
files and forwarding it for storage.
- Informing & Uploading the documents for new hire& the end dates for
employees to the HO (London).
- Preparing the agenda and end date of employees for weekly team
review meetings.
- Updating the policies and notifying the employees through a
circulation of Memo's.
- Liaising with the payroll providers (Deloitte & Touché) and preparing
key field amendments(i.e., instructions for payroll) and offer support
for Bonus program.
- Updating data and preparing Housing Allowance disbursement for
employees on yearly basis.
- Preparing Department expenses for the whole MENA region.
- Responsible for Enrollment & Updating the Medical/Life insurance
coverage for employees.
- Assisting in Preparing reports for Yearly Audit.
- International Travel bookings and advice which may include flights /
Car hire / hotel and restaurants and some entertainment bookings.
- Diary Management for HR Director on Lotus Notes.
