  • Manage the provision of high quality and sustainable administrative support to the Managers and staffs.
  • Manage the Company compliance calendar. Ensuring that the Company meet the regulatory and legal requirements of the DIFC. Such activities include submission of UBO details, economic substance, commercial license renewal, Shareholder and BOD details.
  • Drafting special documents such as Board and shareholder Resolutions, Minutes of Annual General Meeting, etc.
  • Manage overall operation and requirements such as business insurance (i.e public liability), office renovation, cost and annual office budget, assets.
  • Processing and carrying out all transactions related to employment and short-term business visa.
  • Employee’s mobilization, onboarding/ offboarding.
  • Prepare monthly payroll and DEWS contribution.
  • Establishing Company policies and procedures.
  • Supervising the work of clerical and secretarial staff such as flight and hotel bookings, purchase orders, contract applications, payment requisitions, petty cash management, etc.

Duties and responsibilities:

  • Assists in daily business service routine function (clerical and secretarial)
  • Creates and maintain filing systems and records, including files of confidential nature.
  • Responsible in communicating to clients for any additional or repairing job from the scope of works and relay to the project manager.
  • Prepare letter to the clients.
  • In charge for controlling drawings and designs. Do the transmittal for every submission of drawings to the client after the approved proposal of the Project Manager.
  • Receive letters, approved or rejected drawings and coordinate with the Project Manager.
  • Negotiate and prepare purchase orders to local suppliers.
  • Follow up all the import material schedules; from documentation until the installation to the site.
  • Prepare all the necessary documents for exporting materials. Consignee’s detail on the documents (Packing lists, Invoices and certificate of origin) must be in a right format. Follow up the bill of lading from the forwarder till the consignee received and start for the custom clearance.
  • Assist to the Human resource manager.
  • Responsible in communicating between site location and head office (Out of UAE).
  • Assist to the General Manager during his visit to the office.
  • Responsible in daily report for the latest situation in site
  • Attend the weekly meeting. Do the minutes to be submitted to the General Manager.
  • In-charge of requisition, monitoring and control of office supplies and stationeries.
