Office Administration & Coordination
- Oversee day-to-day office operations to ensure a smooth and efficient workflow across branches and corporate environments.
- Manage office supplies, IT equipment, and operational materials required for business continuity.
- Coordinate meetings, schedules, and appointments for management and support teams.
- Ensure compliance with internal policies, procedures, and regulatory requirements.
- Maintain organized documentation, records, and administrative reports.
Staff & Administrative Support
- Support onboarding and training of new employees, including IT induction and workstation setup.
- Act as the primary point of contact for internal and external stakeholders regarding office and IT-related matters.
- Provide administrative and technical support to management and staff for daily operational needs.
- Assist teams with documentation, approvals, and workflow coordination.
Facilities & Vendor Management
- Coordinate vendor onboarding, service delivery, payments, and contract renewals.
- Liaise with external providers for office maintenance, IT services, and facility-related requirements.
- Ensure the office environment is safe, clean, secure, and well-maintained.
- Manage AMC contracts, service agreements, and facility-related escalations.
IT Systems, Operations & Support
- Lead daily IT operations across branches, corporate offices, and data center environments.
- Maintain workstations, applications, and core IT infrastructure to ensure high availability and minimal downtime.
- Oversee IT service desk performance, incident handling, and SLA compliance.
- Provide first- and second-level IT support to staff, resolving hardware, software, and network issues.
- Escalate complex issues to specialized teams or vendors when required.
- Develop and implement IT policies, procedures, and ITIL-aligned best practices.
Infrastructure & Cybersecurity Management
- Design, implement, and maintain on-premise network, server, and security infrastructure.
- Manage cybersecurity controls including firewall rules, IDS/IPS, endpoint protection, and secure configurations.
- Monitor system performance and proactively mitigate bottlenecks or emerging risks.
- Oversee disaster recovery planning, backups, and business continuity procedures.
- Ensure systems are regularly updated and aligned with security standards.
IT Governance, Compliance & Security
- Ensure IT operations adhere to internal controls, regulatory guidelines, and cybersecurity frameworks.
- Participate in internal and external audits, risk assessments, and compliance reviews.
- Implement security awareness practices and ensure staff follow secure computing guidelines.
- Maintain structured documentation for IT processes, systems, and compliance requirements.
Vendor, Procurement & Asset Management
- Maintain IT inventory, track assets, and manage lifecycle planning for all hardware/software.
- Procure IT equipment, systems, and software based on user requirements and operational needs.
- Collaborate with external vendors for IT products, support, licensing, and service delivery.
- Optimize contracts and maintain cost-effective vendor relationships.
- Ensure accurate documentation of licenses, warranties, and renewals.
Strategy, Leadership & Digital Initiatives
- Align IT operations and infrastructure strategy with business objectives and growth plans.
- Lead, mentor, and guide IT operations staff, fostering a culture of accountability and high performance.
- Contribute to automation, digital transformation initiatives, and process modernization.
- Identify opportunities to enhance operational efficiency through technology improvements.
- Support management with technology roadmap planning, budgeting, and optimization.
Additional Responsibilities
- Manage user access controls, security groups, and data protection measures.
- Oversee compliance with Central Bank guidelines (where applicable).
- Conduct periodic DR/BCP testing and ensure preparedness.
- Protect sensitive customer and financial data through secure IT practices.
- Ensure high availability of transaction-processing systems (critical in banks/exchanges).
