Expediting and Logistics Planning:

  • Follow up with the suppliers for the timely ship of the materials and provide feedback to the customer/buyers in case of any expected delays to enable prompt corrective actions.
  • Based on the information provided by the purchasing function, prepare schedules and coordinate with suppliers to arrange for delivery of supplies or parts by making appropriate arrangements to ensure timely and accurate delivery of materials as per the planned schedules.
  • Implement contingency plans, in case of shipment delays, to ensure the customer production operation schedules are note disrupted due to material unavailability.
  • Supervises Import/Export related activities and requirement for smooth execution of order replenishment process (customs clearance, road, air & sea international transportation booking, etc.) be it outsourced or in-house.
  • Communicate and collaborate regularly and consistently with all the other areas involved in the Supply Chain end-to-end process (i.e., Supply Planners, Import Clearing Officers, Suppliers, Regulatory, Shipping lines, Globe, Finance) on IMS elated matters.

Documentation:

  • Based on the shipment schedules, arrange and submit all relevant documentation required by the local authorities prior to arrival of the shipment to ensure adherence to the regulatory requirements as well as timely shipment clearance.
  • Maintain and obtain relevant documents such as Copy of Purchase order, Customs Bill of entry, shipping bill, Delivery order, Bill of lading / Air way bill, Delivery note etc. to track and facilitate the shipment delivery process.
  • Creation of Inbound shipment in Tally. ERP system.

Order Receipt

  • Monitor the receipt of all shipment received by the 3PL warehouse to facilitate tracking and safe receipt of all order/shipment.
  • Follow-up with 3PL warehouse to ensure that shipment received are as per specifications and are in non-damaged state in order to take corrective actions or clear supplier invoice in coordination with the finance.
  • Follow up with suppliers on any consequent actions such as replacement or rejection of the goods.

Inventory Management:

  • Manage Inventory Levels at stock location to ensure sufficient stock to meet customer requirements. Support finance with month end stock transfers/ reconciliation.
  • Post Inventory transactions on Tally. ERP system when required to do so.
  • Reduction on documentation lead time and requirements by conducting process mapping with suppliers. Lean methodology with suppliers for TDC savings and zero demurrage.
  • Ensure monthly adherence to functional health checks and periodic review of General Shipping Instructions (GSI) for better management of risk and opportunities.
  • Performs order management activity for Agents order (depends on the Category of assignment). Supervises and monitor 3PL IMS Control Tower day-to-day task and initiate regular reviews and alignment.

Internal Coordination:

  • Follow up with customer to ensure desired logistics objectives, priorities and schedules are met and communicated to management.
  • Liaise with finance and make sure that no payments are held back that might hamper company image in the market and adversely impact company relationship with the suppliers.
  • Monitor on-time and safe delivery of all goods by taking in the feedback of all concerned functions and setting up action plan to manage unforeseen challenges.

Filing and System Updating:

  • Update all files and systems accurately to ensure constant availability of information on systems at all the times.
