1. Assisting the management in organizational restructuring, developments including setting up of new companies
and joint ventures as well as any potential company acquisitions & mergers.
2. Liaising with the group companies within MiddleEast region on all operational matters requiring management’s
intervention.
3. Working closely with the law firms on behalf of the clients for all legal matters, property litigation, tax dispute,
statutory compliance.
4. Working closely with the Directors & Board members to ensure that all business strategy analysis needs are
addressed in a precise and timely manner.
5. Be a key team player for performing extensive research & analysis on project proposals, participating in project
bidding and winning projects.
6. Initiating, coordinating and enforcing systems, policies and procedures.
7. Coordinating and setting up high-level conference calls, board and management meetings, special events and
travel arrangements for top executives and responsible for extensive travel arrangements and calendar
management/meeting planning.
8. Handling correspondences, proofreading and editing contracts /NDA’s, company policies and other documents
to ensure accuracy and consistency.
9. Opening and distributing incoming regular & electronic mail and other material and co-ordinating the flow of
information internally and with other departments & organizations.
10. Providing superior administrative support to the CEO, including document control, legal assistance, financial
management, events/logistics coordination, communications & policy compliance, and problem resolution.
11. Accompanying the CEO on business trips for conferences/interviews/meetings and preparing Agenda/notes.
12. Creating highly effective organizational and filing systems, including quick and thorough indexing, filing and
offsite storage, resulting in easy access to critical information and streamlined office functioning.
13. Handling confidential information such as employee’s personal files, company documents, list of clients,
company seal, offer letters.
14. Managing contract and price negotiations with office vendors, service providers, office lease, third party
contractors, PRO companies etc.
15. Preparing various presentations, reports & statements for the management/shareholder - Budget vs actual,
expense trend & forecasting, SWOT & PESTLE analysis, etc.
16. Liaising with the banks to update KYC, regulatory & compliance requirements.
17. Planning & coordinating administrative procedures, systems and devising ways to streamline it.
18. Liaising with external auditors for commercial business audit.
19. Guiding the business on implementation of key policies as advised by the Shareholders/Owners.
20. Conducting periodic reviews and suggest improvement ideas in the business activities with reference to cost
saving/profit maximization.
21. Preparing weekly/monthly/quarterly reports and presentation highlighting business performance (E.g. MIS,
miscellaneous presentation) as well as preparing presentations for senior leadership & shareholders review.
