A - Pre-bidding stage:

• Participates in pre-qualification process of suppliers to ensure engagement with suitable and sustainable suppliers using RFI or PQQ
• Cooperates with stakeholders to prepare scope statements, specifications, ToR, BoQ using early supplier involvement (ESI)

B - Bidding stage:

• Issues Invitation to Tender (ITT) as per procurement policy
• Receives bid securities, pro forma invoices, offers and performance securities as per ITT terms and conditions
• Ensures competition and value for money and prepares for evaluation process based on lowest-price bid or MEAT (Most Economically Advantageous Tender) Prepares contracts with suppliers using standard or bespoke terms and conditions as required and ensures timely distribution to relevant stakeholders, (FIDIC EPC) Methodology

C - Post-Bidding stage:

• Monitors and controls daily work performance of the service providers to ensure that the works are done as per agreed upon SLA and KPI, also to avoid supply failure risk
• Reports periodically on project procurement activities such as Tender summary reports, evaluation reports, inventories report and GRN reports
• Ensures compliance with corporate governance, procurement rules and procedures.

A - Pre-contract award:

• Understand end-user need to ensure right procurement and avoid doable job
• Sourcing and finding from where and from whom the needs can be obtained
• Consult and liaison with all teams involved (financial, technical, …etc.) Evaluate suppliers (Technically and Financially) and select most qualified suppliers to participate in the competition
• Issue RFQ or ITB (ITT) to selected suppliers
• Evaluate offers, and select the best one against (price, delivery, quality, quantity, time, and environment sustainability), and issue PO (Purchase Order)
• Negotiate best contract terms and award contract and implement

B - Post-contract award:

• Expedited delivery
• Ensure delivery is at the right time and right place
• Contract performance review
• Supplier relationship and contract reflection.

A - Conduct Sourcing Process

• Receive PRs and build specifications
• Understand end user need and develop specifications and obtaining options
• Suppliers' evaluation and suppliers' selection
• Issue RFQs, RFIs, RFPs
• Prepare budgets, cost analysis and reports

B - Conduct Purchasing Process

• Coordinate shipments and track inventory
• Evaluate offers, and choose the best supplier based on TCO, delivery, quality, quantity and lead time
• Issue Purchase orders PO Negotiate price and contract terms
• Build SLA & KPIs to insure and monitor supplier performance

C - Supply Process

• Ensure timely and quality delivery
• Identify shipping methods and communicate with shipping lines, Carriers, freight forwarders and negotiate prices
• Prepared all documents for clearance (Certificates of Inspection COI, Commercial Invoices CI, Packing list PL, Certificate of Origin COO)
• Managing all logistics partners inbound and outbound
• Ensuring value for money, Total cost of ownerships to add value
• Maintaining accurate records for inventories
• Preparing reports for records and top management.

• Maintain consistent and sufficient stock
• React to shortages in inventory
• Work with procurement officers reporting on inventory changes
• Oversee and control inventory coming in and out of the warehouse
• Maintain warehouse for best layout, flow, flexibility, and handling
• Distribution of handling machinery for best effectiveness
• Audit process and inventory to track performance
• Ensuring Delivery Order (DO) vs Good Received Note (GRN).
